At PayPinz, we take your privacy extremely seriously. This Privacy Policy describes how we collect, use, and share your personal information when you use our smart badge scanning payment services, websites, or software applications (collectively, the "Service").

1. Information We Collect

When you register on PayPinz, we collect personal information such as your name, email address, job title, and country. When you tip or donate via the platform, we collect transaction metadata (profile slug, tipper name, custom messages, and timestamp). For donors opting into Gift Aid, we also collect the donor's full name, home address, and postcode. All credit card information is collected and processed securely by Stripe; PayPinz never has access to, nor stores, your payment card details.

2. How We Use Your Information

We use the information we collect to operate, maintain, and improve the Service, validate and process Gift Aid declarations, generate dynamic QR codes and tipping links, track transaction metrics in your dashboard, and send automated notifications (such as tip receipts and onboarding alerts).

3. Information Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We share details with our payment processor, Stripe, to the extent necessary to verify connected accounts and execute tip payouts. For donations where Gift Aid is claimed, we share the donor's full name, home address, postcode, and donation history with the recipient charity organization to enable them to claim Gift Aid tax relief from HM Revenue & Customs (HMRC).

4. Data Security

We implement robust administrative, technical, and physical security measures (including secure database rules and HTTPS encryption) to protect your personal information against unauthorized access, disclosure, or alteration.

5. Data Retention

In accordance with statutory UK tax regulations, all Gift Aid declarations and associated donor transaction records are retained securely for a minimum of six (6) years following the end of the tax year they relate to. Other personal data is retained for as long as necessary to provide the Service or until deletion is requested.

6. Your Data Rights

You have the right to access, correct, update, or request deletion of your personal information stored in our database at any time by contacting us directly at support@paypinz.com (subject to statutory tax retention requirements).
